Lease Register dashboard in Google Sheets showing 5 leases ending inside ninety days, 15 leases live, $21,770.00 monthly rent, $27,145.00 in deposits held, and a chart of leases by expiry month.
Lease Register's Set up tab with the lease types, units and tenants the landlord fills in, which become the dropdowns on the Leases tab.
The problem

A lease rolls over because nobody looked at it in time.

The renewal conversation wants ninety days. The end dates are in sixteen documents, in a folder for each unit, and the only one you remember is the one that went wrong.

Ask what you hold in deposits and the honest answer is a guess, or twenty minutes with a calculator.

What's inside

The rent roll and the renewal calendar, in one list.

Type each lease once: the unit, the tenant, what it pays, the deposit you hold and the dates. The file works out the term, counts down to every end date, totals the monthly rent and the deposits, and marks anything ending inside ninety days.

It holds no lease documents. Terms and dates, so the file stays something you can open on a phone in a parking lot.

  • Leases. One row each, with the unit, the tenant, the type, the start and end dates, the rent and the deposit you hold.
  • The countdown. Days to every end date, worked out, with anything inside ninety days marked.
  • The Dashboard. How many leases end inside ninety days and which comes first, how many are live, what the rent comes to each month and what you are holding in deposits.
  • The chart. How many leases end in each of the next twelve months, so a heavy month is visible early.
  • Month to month. A lease with no end date counts as live and stays out of the countdown.
  • Red and gold. An end date already passed turns red. One inside ninety days turns gold.
  • Set up. Your own units, tenants and lease types, behind the dropdowns on Leases.
  • Sample leases. Sixteen made-up ones across apartments, duplexes and two shops.
Lease Register's Leases tab listing 16 residential and commercial leases with the unit, tenant, dates, rent and deposit, and the term and countdown worked out beside each.

Questions

Before you buy.

Does it hold my leases?

No. Terms and dates only. The documents stay wherever you keep them, and this tells you which one to go and find.

What about month to month?

Leave the end date empty. It stays in the live count and in the rent total, and it drops out of the countdown, because there is nothing to count down to.

Does it track rent coming in?

No, and that is a different job. This is the register: what is let, to whom, for how much, until when.

S

Start the renewal on your timing, not on the calendar’s.

No app to learn. No new account. No monthly anything.
