The problem
Cover lapses quietly, and the work carries on regardless.
The certificate came in as an attachment a year ago. It ran out in June. They were on site last week, and nobody noticed, because there are sixteen of them across fifteen trades and the dates live in sixteen different emails.
You find out when somebody asks, and by then the answer matters.
What's inside
The soonest date that matters, for each one.
Type each subcontractor once: the trade, who to call, when their insurance runs out, when their license runs out, the agreement date and what you actually have on file. The file takes whichever expiry comes first, counts down to it, and marks anyone already past it.
It stores no certificates and no policy numbers. Dates and names, so the file is safe to keep open on a laptop in a trailer.
Subcontractors. One row each, with the trade, the contact and phone, both expiry dates, the agreement date and what is on file.
The soonest expiry. Insurance or license, whichever runs out first, counted down from today.
The Dashboard. How many are working uncovered and who lapses next, how many subcontractors across how many trades, how many expire inside thirty days and how many have paperwork missing.
The chart. How many reach their soonest expiry in each of the next twelve months.
No license needed. Leave it blank for a trade that does not carry one, and the countdown runs on the insurance date alone.
Red and gold. A date already passed turns red. One inside thirty days turns gold.
Set up. Your own trades and paperwork statuses, behind the dropdowns on Subcontractors.
Sample subcontractors. Sixteen made-up ones across fifteen trades, so the counts make sense before you type your own.

Questions
Before you buy.
Does it hold the certificates?
No, and it holds no policy numbers either. The dates and who to call for a new one. The documents stay where they already are.
What about a trade that needs no license?
Leave that date blank. The countdown then runs on insurance alone, and the row still counts as covered or not.
Does it chase anybody?
No. It tells you who to call and how long you have, which is the part that goes missing.
S
Ask for the certificate before the job, not after.
No app to learn. No new account. No monthly anything.
