The problem
The background check was three years ago, and three years is the limit.
Twelve volunteers and thirty clearances between them, each with its own date and its own length. Background checks, safeguarding, first aid, food handling, and a driving check that runs a year rather than three.
Nobody is hiding anything. The dates are in a folder, and the roster gets made from who is free on Saturday.
What's inside
Completed, plus how long it runs, gives the expiry.
Type each clearance once: whose it is, what it is, the date it was completed and how many months it lasts. The file works out when it expires, counts the days, marks what has lapsed and names anyone still on the roster with a lapsed one.
It holds status and dates. What a check actually said never goes in, and there is nowhere in the file to put it.
Clearances. One row for each check a volunteer holds, with the date it was completed and how many months it runs.
Expires, worked out. The completion date plus the months, with the days counted from today.
Rostered without it. A volunteer still down for shifts on a lapsed clearance turns red by name, which is the row that matters most.
The Dashboard. How many are rostered without clearance, how many clearances have lapsed, how many run out inside sixty days and how many volunteers are fully covered.
The chart. How many clearances run out in each of the next twelve months, so a heavy month can be booked in advance.
Red and gold. A clearance already run out turns red. One inside sixty days turns gold.
Set up. The clearance types your organization requires, behind the dropdown on Clearances.
Sample clearances. Thirty made-up ones across twelve volunteers, so the counts make sense before you type your own.

Questions
Before you buy.
Does it hold the background check itself?
No, and there is nowhere in the file to put one. You record that a check was done, when, and how long it lasts. The report stays wherever your organization already keeps it.
What about a clearance that never expires?
Leave the months blank. The row stays on file as something the volunteer holds, with no countdown and nothing to renew.
Who can see it?
Whoever you share it with, and nobody else. It is one Google Sheets file in your own Drive, so it goes to the people who make the roster and stops there.
