The problem

The results are in a binder, and the due dates are in your head.

Emma tested in May. Lily’s evaluation was in the fall, or was that the year before? Noah moved to a co-op testing day, and his letter is in a different binder from his sister’s.

If your state wants each one on a schedule, keeping three children on three schedules is where it slips.

What's inside

Every test and evaluation, and the next one worked out.

Log each test or evaluation on the Records tab as it happens: the date, the child, the type, who gave it, the result as reported and where the report is filed. Say how many months apart your state wants that type. The file takes the newest record for each child and type, works out when the next one is due and counts the days.

It holds no state rules, so the schedule is the one you set from your own state’s requirements. And it stores no reports, only where each one is kept.

  • Records. One row per test or evaluation, with the child, type, provider, result as reported and where it’s filed.
  • Next due. Worked out from the newest record for each child and type, and the months you set between them.
  • Days away. A countdown on each child’s newest record of each type, which turns negative once it’s overdue.
  • Filed at. Where the report itself lives, binder or Drive folder, so you know where to look.
  • The Dashboard. The next evaluation due and whose it is, how many are overdue, records on file, children covered and records this year.
  • Records by year. A chart of how many tests and evaluations were recorded in each of the last five years.
  • Red and gold. An overdue date turns red. One inside sixty days turns gold, time to book the provider.
  • Set up. Your own children, record types and providers, behind the dropdowns on Records.
  • A date you choose. Type one on the Dashboard and every countdown works from it. Clear it and the file reads today.
  • Sample records. Fourteen made-up records for three children, so the figures make sense before you type your own.

Questions

Before you buy.

Does it know my state’s requirements?

No. Nothing is built in. You set how many months apart each type falls, from your own state’s rules, and the file counts from there.

Does it store the reports?

No. It records the result as the report states it and where the report is filed. The report stays in your binder or your Drive.

What if my children are on different schedules?

Each record carries its own number of months, so one child tested every year and another every two years both count down correctly.
