Home Inventory dashboard in Google Sheets showing a total value of $14,850 across 20 items, 6 rooms covered, the kitchen as the most valuable room, and a chart of value by room.
Home Inventory's Set up tab with two lists, rooms and categories, which feed the dropdowns on the Items tab.
The problem

After a fire or a break-in, the insurer asks for a list.

The claim wants every item, what it cost and when you bought it. The week after something has gone wrong is the worst time to try to remember the model of the television, or whether the good mixer was two years old or five.

A list made on an ordinary evening is the one you will be glad of. It takes an evening or two, room by room, and then it mostly sits there until the day it matters.

What's inside

Room by room, with where the proof is.

Add each item once: the room, when you bought it, what it cost, the serial number and a link to where the photo lives. The Dashboard totals the house and every room, and shows how many rooms you have covered.

The file never holds the photos themselves. Keep them in Drive or your phone’s album and paste the link, so the file stays small and quick to open.

  • Items. One row for each thing worth claiming on: room, purchase date, cost, serial number, photo link and category.
  • The Dashboard. The total value of the house, how many items, how many rooms are covered and which room holds the most, with a chart of value by room.
  • Red and gold. A missing cost turns red. A missing photo link turns gold, so the gaps show at a glance.
  • Set up. Your own rooms and categories, behind both dropdowns on Items.
  • Sample items. Twenty made-up items across six rooms already in place, so the totals make sense before you type your own.

Questions

Before you buy.

Does it store my photos?

No. It holds a link to where each photo lives. The photos stay in Drive or on your phone.

Is it what my insurer needs?

It is a record you keep, not a form from your insurer. Ask them what they want to see before you need it.

Should I put account or policy numbers in it?

No. It is a list of things and where the proof is, not a place for numbers anyone could use.

How many items can it hold?

Two hundred.

Can I use it on my phone?

Yes. Going room by room is easiest on a laptop, but looking something up works anywhere.

Is there anything to renew?

No. You buy it once and the copy is yours to keep.

S

Make the list while nothing has gone wrong.

No app. No account. No monthly anything.
