The problem

The certificate came in eighteen months ago and nobody looked again.

Fourteen trades, fourteen specialties. The plumber, the roofer, the locksmith you called once at eleven at night. Each one sent paperwork when they started, and the dates on it have been going by ever since.

And if somebody asked you today which of them costs the most in a year, or which one actually shows up the day you call, you would be guessing.

What's inside

Whichever date runs out first, counted down.

Type each vendor once: the trade, who to call, the rate and the two dates. The file takes whichever expires first, counts the days to it and marks anyone already past. Log each job against a vendor and it adds up the year’s spend and averages how long they take to respond.

It stores no certificates and no policy numbers. Dates, names and money, which is all you need to make the call.

  • Vendors. One row per trade, with the contact, the rate, how the rate is charged and both expiry dates.
  • Soonest expiry. License or insurance, whichever runs out first, counted from today.
  • Jobs. Every dated job against a vendor and a unit, the work done, what it cost and how many days they took.
  • Spend this year. Added up per vendor from the jobs you logged, so what a trade costs you is a figure rather than an impression.
  • How fast they turn up. Average days to respond, per vendor, which is the thing a quote never tells you.
  • The Dashboard. Who is working uncovered, how many vendors across how many trades, how many expire inside thirty days, and what the year has cost.
  • The chart. Spend by vendor, so the one taking most of the budget is plain.
  • Red and gold. An expiry date already passed turns red. A countdown inside thirty days turns gold.
  • Set up. Your own trades, rate bases and properties, behind the dropdowns on both tabs.
  • Sample vendors. Fourteen made-up trades and thirty jobs, so the figures make sense before you type your own.
Vendor and Contractor Register's Vendors tab listing 14 trades with the contact, rate, license and insurance dates, and the countdown, spend and average response worked out beside each one.

Questions

Before you buy.

Does it store the certificates?

No, and no policy numbers either. It holds the dates and who to call for a new one. The documents stay wherever they already are.

What about a trade that carries no license?

Leave that date blank. The countdown then runs on the insurance date alone, and the row still shows covered or not.

Where do the response days come from?

You. Each job has a days-to-respond you fill in, and the file averages them per vendor. Nothing is timed for you, and that is the point: it is your judgment, written down.
